Report: Creating a Subscription

In this example, take a look at an existing New Member report and the Filters we've applied to get a specific result set. Then we'll set up a new Subscription to be notified whenever the result set changes. Let's get started!

Create a Report

  1. Open the Templates folder and select Contacts & Group Relationships.

  2. Click the 🔽 next to Edit, and Save As.

  3. Give your Report a name and save it to the Notifications & Subscriptions Folder.

  4. Select Edit from the dropdown menu.

Apply Filters

  1. Jumping into the Filters tab, let's apply a handful of "standard" filters:

    1. Show Me > All Accounts

    2. Created Date > Range > All Time

    3. Deceased > False

    4. Preferred > True

    5. Chapter Status (contains) > Open,Colony,New Chapter

    6. Status > New Member

  2. Additionally, we need to apply a date-based filter. This will ensure our Report result set is dynamic, and the value we select should match the "interval" of our Report Subscription.

    1. Begin Date > YESTERDAY
      (this is a dynamic value, that will always reference the past 24 hours—ensuring that our result set is always fresh)

Activate Subscription

  1. Click Run in the top-right to execute your Report.

  2. Click the 🔽 next to Edit, and Subscribe.

  3. Apply the following settings:

    1. Frequency > Daily

    2. Time > 7:00 AM

    3. Recipients > Yourself

    4. Run Report As > Me

    5. Conditions > Add conditions to this report

    6. Record Count > 0 (Greater than)

    7. Email options > Summary + Report

  4. Click Save—your subscription is now active!
